WOLLASTON VILLAGE HALL MANAGEMENT

COMMITTEE MEETING

6.30pm, Tuesday 14th November 2023

Village Hall, Wollaston

Present:    Mike Goldsmith (Chair), Maureen Green, Greg Carter, Geoff Simmons (Treasurer), Helen Warden, Fran Woods, Penny Morten and Suzanne Grant (Clerk).

Apologies: Kathryn Betts.

  1. Welcome and Apologies

Mike welcomed everyone to the meeting.  Apologies were given as above.

  1. Minutes of the Previous Meeting

The minutes from the meeting which took place on 3rd October 2023 were agreed and signed.

  1. Matters Arising

No Matters Arising to report.

  1. New Community Centre and Preschool

Mike advised that the New Community Centre and Preschool location issue is still ongoing, however one of the locations currently being discussed with the Duchy is the Field opposite the Water Tower in Irchester Road.  Awaiting HSE.  The Parish Council are hoping to present options to the Community at the Christmas Fayre on Sunday 26th November or asap.

  1. Treasurer’s Report

Geoff presented the Treasurer’s report – no issues.

Clerk passed 2 cheques from the bowls club & an invoice for cleaning equipment purchased by

Helen for the Village Hall Cleaner – paid by Parish Council.

In the light of the correct smart meter based bill of £28, it seems to be possible or even probable

that several of the estimated bills when the smart meter was inoperable were far from

correct. GS to check with Eon.

Concerns raised over Heating being left on high and doors opened when heating is on – Helen

to enquire with Smiths Fire if a plastic door curtain is allowed due to it being a fire escape.

“Heating Save” thermostat company – Greg advised that this would be a possible option for the

New Community Centre as requires some investment (wi-fi etc) can be linked to bookings &

lights.

Geoff confirmed that he was still looking into a new Bank Account (Lloyds) due to bank charges

from HSBC.  Once this established, Caretaker (Helen) to receive a debit card as previously agreed

as the current £50 cash float is not convenient due to predominantly online purchases greater

than £50.

Smiths Fire Inspection was passed from Geoff to Helen – 4 lights need immediate attention –

Helen to book Mark Essam Electrician.

Geoff requested once again for a 4” diameter hole to be made in the panel in ladies’ toilet to

enable easy access for reading the meter.  Penny to arrange this asap with Richard Morten.

Clerk to send Geoff a photograph of meter reading as currently blank.

Geoff confirmed that he would be retiring from his position as Treasurer in September 2024.

  1. Caretaker’s Report

Helen distributed a schedule to the committee for the Village Hall & Oasis regular bookings.

Helen reported that the bookings had picked up, lots of bookings for November, December &

even a couple for the New Year.

Request had been received from a new user for Saturday mornings 10am for a 45

minute fitness class in the Oasis. Helen confirmed that the user was insured and would receive

a standard contract & the music situation would be checked. It was agreed that the new user

should be given a trial period. Geoff to send through the Contract Word documents to Helen

for updating.

Request from a local young resident partaking in the London Marathon for a Children’s Charity

to hire the Village Hall for 3 Charity raising events (quizzes) in December, February and March

for a lower rental cost.  It was agreed that the Hall would be hired out to her at the current rate

but she would only be charged for 2 hours (but can use for 3 hours).  Parent to make and oversee

the booking if U18 for insurance purposes.

PAT Testing – list of equipment to be provided that requires PAT testing.  Penny to arrange for

Richard Morten to carry out the PAT testing.  It is the Bowls Club responsibility to PAT test their

own equipment.

  1. Busy Bees Report

Currently 9 children enrolled.  2 new children enrolling in January.  Recent events such as

the Halloween party have been successful.   Recent Environmental Health visit resulted in a 4 star rating.  Penny to chase payment with immediate effect as no payment has been made to Treasurer.

A potential £10,000 donation to Busy Bees from an inheritance source is pending.
