COMMITTEE MEETING

6.30pm, Tuesday 4th March 2025

Oasis Lounge, Wollaston

Present:     Cllr Dr Mike Goldsmith (Chair), Cllr Greg Carter, Fran Woods (Studio 52), Maureen Green, Penny Watts (Busy Bees), Mary Burbidge (Treasurer), Kathryn Betts and Suzanne Grant (Clerk).

Apologies: Jaza Babar (Caretaker), Anna Fermi (Busy Bees).

  1. Welcome and Apologies

Mike welcomed everyone to the meeting.  Apologies given as above.

  1. Minutes of the Previous Meeting

The minutes of the meeting which took place on 4th February 2025 were agreed and signed.

  1. Matters Arising

None from the previous meeting.

  1. New Community Centre and Preschool

Still awaiting NNC S106 and Early Learning Teams to respond following the meeting and information sent over in December.  No further updates at this time.

  1. Treasurer’s Report

Financial report attached.  No issues.  Jaz has received agreed petty cash and all invoices have been paid and issued for February.  Varying user rates were discussed and are to be re-visited once the Village Hall redevelopment plans are known.  A shared google calendar has been created for the Caretaker and Treasurer for a closer view of bookings.  Caretaker’s wage was discussed and the Treasurer to amend the Standing Order.  Current cleaner to be given 4 weeks’ notice with replacement on a trial basis for the current 290 annual hours.

  1. Caretaker’s Report (sent in by Jaza Barbar)

Bookings

Steady bookings are still coming in, mainly for kids’ parties. All users were happy with the hall and booking process.

Sword fighting/ martial arts class have decided to carry on with classes and become a regular hirer. They reported back that they have thoroughly enjoyed using the space and the rate was reviewed to be in line with other users.

Maintenance update

The toilet has been fixed and paid for and will be using Liberty plumbing going forward. We also had the loose slab on the slope outside fixed by Elite Landscaping.

Currently working on getting the crack in the main hall fixed, I have found someone to do it. I’m just waiting for them to send me 2 quotes as there are different ways to fix it. Will run the quotes by Mary before I go ahead.

Kitchenware Grant (£500)

I have got the new kitchenware in an Amazon basket, but I went into both kitchens and noticed that there are a lot of miss match mugs and old kitchen ware. The budget is big enough to replace all of it. I will keep things that are suitable and all old utensils to be given to charity. The Grant needs to be spent by December 2025. And if the budget allows, new mops and cleaning rags can also be purchased.

Bowls have brought up the issue with the cleaning supplies in the cupboard being in their way again.  The Youth Club equipment has been passed over to the Village Hall Management Committee and a decision will need to be made about where this equipment will go (other Village Youth Groups?).

A notice has been issued to all users, please do not scrape furniture across the floor. There are bad marks near the door from the lounge into the main hall. Fran has put up more signs.

I had a phone call from a charity that deals with bringing families back together who have kids in care, and they are interested in having use of the Oasis hall for their family meeting’s on a regular basis. I have told them that we charge £7ph for charities to hire the Oasis but they asked if we could potentially give them the hall for cheaper or possibly free as they are a new charity. I told them I would run it by the committee. Could we come up with an agreed price per hour? They will be giving plenty of notice for their meetings and will be based around the other classes in the hall so there will be no interruptions.   It was agreed that they would be charged the standard £7 per hour to cover utilities.

  1. Busy Bees Report

No issues, there will be 3 new starters in the run up to Easter.  An open day to be held in April.  The Thursday toddler group is going well resulting in confirmed viewings.  The recent Bingo night raised over £400 for Busy Bees.  Greg Carter to chase Anna Fermi for the Busy Bees business plan.

  1. Studio 52 Dance Academy

No issues.

  1. Other Users

No reports.

  1. Date of Next Meeting

Tuesday April 1st, 2025, 6.30pm Village Hall Lounge.    Apologies received from Cllr Mike Goldsmith.
