WOLLASTON VILLAGE HALL MANAGEMENT
COMMITTEE MEETING
7pm, Tuesday 07 March 2023
Village Hall, Wollaston
Present: Dr Mike Goldsmith (Chair), Geoff Simmons (Treasurer), Debra Styles (Secretary), Greg Carter, Kathy Betts, Helen Warden, Anna Fermi and Jess Lusher.
Apologies: Maureen Green, Rep from Bowls club.
Mike welcomed everyone to the meeting. Apologies were given as above.
The minutes from the meeting which took place on 07 February 2023 were agreed and signed.
Debra has been in contact with phs Group regarding empty of the sanitary bins, but no response yet. Jess has kindly let them in and given them access to the Oasis last time they visited. Mike will organise a letter in a card to thank Sarah for her work over the last 10 years.
A meeting between the PC and the Duchy took place and the representative from the Duchy has no issue with the proposed rotation of the building, as per the existing plans. The only issue is the entrance to the field for the tenant farmer. Once written confirmation is received, the PC can apply for the pre app and the S106 Agreement will need amendment to the plan to show the new location of the building.
Geoff circulated figures and reported running at a deficit of £500 approx, £1,400 insurance for the whole year is the reason. EON issues. A SMART meter was installed for the gas meter but the figures are not being read by EON who are estimating the use and consequently the bills have increased significantly. A video has been taken and EON need to visit. Geoff will check whether yoga fees are in, otherwise no other fees outstanding. Debra handed over Sarah’s items to Geoff, paying in card, receipts and some petty cash.
Welcome to Helen, new caretaker and bookings clerk. Sarah did a hand over with Helen. It was agreed Helen will source a new mobile phone as the current one is Pay as you Go and has no credit on it, is difficult to use and out of date (no Whatsapp). Hayley has been employed as the cleaner through her company Clean and Gleam and Helen will liaise with Hayley regarding when the site needs cleaning and who will be responsible for what regarding equipment and cleaning items. Helen has some events booked. Debra has drawn up employment contracts.
Numbers are steady with 1 new starter and some enquiries. There have been some issues with floor cleaning after session with corn flour, but this has now been resolved. Richard has fixed the doors in the lounge so they can be locked for toddler stay and messy play sessions. The preschool will organise mouse traps in the outside shed. Busy Bees are now taking children from the age of 2 and Anna asked whether they could extend their hours for session and possibly a breakfast club beginning at 8.30am. There is availability on Monday and Friday and Geoff would forward a list of users and their times. It was agreed the preschool could place an advertising board in the lounge and Anna could use the Oasis for interviewing new staff.
Youth Club continues with a visit from the Arts and Crafts representative, pancakes to celebrate Pancake Day and purchase of Easter Eggs for Easter. Numbers are starting to build and more adult volunteers are needed.
No update. Cheque for hall hire passed to Geoff from Debra.
Numbers are steady. There are parents’ days in March so the boards will need removing in the main hall.
Barbells and Boobies have not responded to the offer of Friday evenings which Greg sent out via email.
Tuesday 04 April 2023, 6.30pm Village Hall Lounge.
