WOLLASTON VILLAGE HALL MANAGEMENT

COMMITTEE MEETING

6.30pm, Tuesday 3RD June 2025

Oasis Lounge, Wollaston

Present:     Cllr Mike Goldsmith (Chair), Mary Burbidge (Treasurer), Kathryn Betts, Maureen Green, Jaza Babar (Caretaker) and Suzanne Grant (Clerk).

Apologies: Cllr Greg Carter, Penny Morten (Busy Bees), Fran Woods (Studio 52 Dance).

  1. Welcome and Apologies

Mike welcomed everyone to the meeting.  Apologies given as above.

  1. Minutes of the Previous Meeting

The minutes of the meeting which took place on 13th May were agreed and signed.

  1. Matters Arising

None from the previous meeting.

  1. New Community Centre and Preschool

Despite continuous chasing, we have still not received any further communication from the S106 Team at NNC.  Next steps are to approach the Leader of the Council, Cllr Martin Griffiths to escalate on our behalf.  The S106 early years contribution is 10 years from the date of final installment being received (2034) so we are therefore not in any danger of the funds being past their expiry.

  1. Treasurer’s Report

Please see attached YTD Accounts to May 31st, 2025, and Accounts and Forecast to 30th September which show a continued loss with a forecast of £22,298 balance by September 30th.

An urgent meeting is required with the Village Hall Committee and Busy Bees to discuss reinstatement of rent and event bookings along with the Busy Bees future plans and forecasts.

A review of all users’ rent and contracts to be agreed at the next meeting which will include a cancellation policy due to differing amounts and large number of cancellations.

Cllr Goldsmith to request a grant from the Parish Council for urgent repairs (flooring and lighting) at the June meeting.

Clerk to chase NNC for payment for Polling Day election (£600).

The bank limit has been increased to £1000 to allow the Treasurer to make larger payments.

Treasurer continues to work on the utility bills to ensure more cost effective.  A direct debit has now been set up for the third water meter.

  1. Caretaker’s Report

Bookings have slowed down.  A few complaints have been received regarding the ripped

flooring (potential trip hazard) and the lighting in the main hall.  A Facebook page is currently

in progress to promote bookings.  Electrical testing has been carried out with no major issues,

await full report and invoice for £400.

  1. Busy Bees Report (sent in by Penny Morten)

Currently there are 18 children on role, however we are losing 6 to school in September, we currently have 1 confirmed new starter for September.  Environmental Health visited last week, and we were awarded a 5 rating for Busy Bees equipment and procedures which is great news for the hall.

  1. Studio 52 Dance Academy (sent in by Fran Woods)

Presentation Days are confirmed as 28/29th June, please can Busy Bees remove their boards in the Main Hall on Friday 27th June so that we can decorate for the event.  The event will be set up on Friday evening and packed away on Sunday afternoon.  Jaz has been informed.
