WOLLASTON VILLAGE HALL MANAGEMENT

COMMITTEE MEETING

6.30pm, Tuesday 4th June 2024

Village Hall, Wollaston

Present:     Cllr Dr Mike Goldsmith (Chair), Geoff Simmons (Treasurer), Cllr Greg Carter, Penny Morten, Maureen Green, Kathyrn Betts and Suzanne Grant (Clerk).

Apologies: Jaza Babar, Fran Woods

  1. Welcome and Apologies

Mike welcomed everyone to the meeting.  Apologies were given as above.

  1. Minutes of the Previous Meeting

The minutes from the meeting which took place on 14th May 2024 were agreed and signed.

  1. Matters Arising

Outstanding from previous meeting – Geoff still in the process of arranging a Debit Card with HSBC.

  1. New Community Centre and Preschool

The Parish Council application for £600,00K LUF grant was unfortunately declined.  Finance options to be discussed at the next Parish Council meeting (Loan/Lottery grants etc).  A meeting has been held with Cllr Carter, Busy Bees and S106 NNC Early Learning team to discuss various options (longer hours, younger children, becoming a business rather than a charity). A business plan is required.

  1. Treasurer’s Report

The Clerk passed cheque payment from Bowls Club for July to the Treasurer.  Finances were circulated, no issues.  Clerk to chase NNC elections team for two outstanding payments from the polling station bookings in February and May.  £600 NNC Member Empowerment Fund donation was not received, Clerk to chase Cllr Carr. The clerk to chase Jaza for invoices for Smiths Fire check.  The committee agreed that due to lack of response for the voluntary position of a replacement treasurer for Geoff, this bookkeeping position will need to be advertised as a paid position for 2 hours per week at the living wage rate.  All other jobs to be shared within the committee.

  1. Caretaker’s Report (sent in by Jaza Babar)

Maintenance update –

I had reports of 2 lights being out, one in the lounge and a flickering light in the Oasis room. I got hold of Mark and he came in and had a look last Tuesday. He said he can fix them but he’s quite busy at the moment so he’s going to send me a quote for the job within the next 2 weeks or so.

Smiths fire company came out on the 28th to complete a fire check which all went well. We have an extinguisher check on Wednesday.

Bookings  –

We had the jewellery valuation company event at the end of May,

I went myself and it was only a very small event but went well, had positive feedback on communication and key management. I’m just waiting to hear back from them with their bank details to send back the returnable deposit.

I’m also in the process of booking a party for the end of August. I had an email from a Karate teacher who was enquiring about starting up regular weekly classes. I gave him the timetable so he could see what days and times we have available. He has not come back to me as of yet. I did inform him that the decision will have to be made by the committee and I will bring it to the committee officially when I hear back from him.

Polling Station 4th July –

The polling station was organised for the 4th of July and equipment will be dropped off in the foyer again on the 3rd. I will be going in on the day to make sure everything is going okay.  All regular users that day have been informed of this and have cancelled classes accordingly.

Update on the lights and heating being left on –

I got in touch with all the users and the cleaner about this issue and unfortunately no one took responsibility, but all acknowledged that it was a problem and said they would be more considerate in the future.

Cleaning –

No issues with cleaning on my end, I talk to Hayley once a week and check in on her and supplies and she seems to be doing okay.

I spoke to Fran yesterday and she has agreed to let JJ into the Oasis room at 9am on Saturday to collect his 4 tables. I replied to his email with this information. I will also email him to organise dropping them off again, but I will meet him at the hall for that.

  1. Busy Bees Report

A busy term ahead with Father’s Day breakfast and a pre school trip.  Numbers are still low, but there have been two new starters this week and four will move up to school in September.  Three members of staff are still required.
