WOLLASTON VILLAGE HALL MANAGEMENT
COMMITTEE MEETING
6.30pm, Tuesday 4th July 2023
Village Hall, Wollaston
Present: Mike Goldsmith (Chair), Maureen Green, Fran Woods, Helen Warden, Penny Morten, Kathy Betts and Suzanne Grant (Clerk).
Apologies: Geoff Simmons (Treasurer), Greg Carter.
Mike welcomed everyone to the meeting. Apologies were given as above.
The minutes from the meeting which took place on 6th June 2023 were agreed and signed.
No Matters Arising to report.
Mike advised that there is still an ongoing issue with the New Community Centre and Preschool location due to the HSE carrying out a risk assessment associated with Scott Bader which now means the original area is unsafe due to being in a high risk zone. However, new locations are currently being investigated – opposite, across the road into the next field which is outside the zone (too far out from centre of village?), other possible alternative is London Road (just off A509) which is also Duchy land farmed by the same farmer or the Doc Marten High Street site (highly unlikely due to costs). Mike is awaiting an update from his email to the Duchy and it is thought that it will be at least 18 months before a new community centre will be available. It was raised by Fran whether the Village Hall could be kept as a going concern and refurbished with just a new pre school being built? This would save a considerable amount of money.
In Geoff’s absence, Mike reported the following from Geoff’s update:
China Creations still not paid – Penny Morten to provide dates/times to Helen. Penny
will then pay accordingly.
Scouts rent GS has in hand
Gas Meter – Eon keep changing date to provide replacement meter. Mike awaiting an
update.
Water meter bogged down again – GS to chase
All other due payments received from regular users.
Busy Bees – Mike reported that Busy Bees are in serious financial trouble and therefore
their rent has been deferred for 2/3 months. (1 July 23 to 30 Sept 23)
Geoff has requested a breakdown of their monthly payments from October 2021
to date – Penny to chase their treasurer for this.
Fire extinguisher service completed & paid for. Two replaced.
Annual Charities Commission has been submitted.
Geoff completed the first of two Zoom webinar sessions yesterday, final session next Monday dealing with Charitable Trusts i.e. the legal status of the Wollaston Village Hall Management Committee and its relationship with the Wollaston Parish Council.
Geoff will report to this committee at the next (Sept 2023) meeting having spoken with the Parish Councillors as nominated by the PC. There will be implications for the New Community Centre & Preschool.
Helen advised that the ad hoc bookings were very quiet. No issues with regular users. Lights still need replacing – quote from Mark Essam for £240, awaiting another quote and this work will be carried out over the summer. Will Ingold (Boxercise) has added another hour to his booking in the Oasis on a Friday. No issues with Hayley Weedy (Cleaner)
Penny advised 5 new children has started, but losing the same amount to school in September and this year appears to be a low birth year as primary school numbers are also down. Lots of social media advertising to grow numbers. There are 3 qualified staff needed (1 on zero hours contract). Clerk to chase S137 Grant for Busy Bees.
Penny advised that from September they would be extending their hours on a Monday, Wednesday and Friday to 2pm (Fran is happy with this due to dance starting 2.45/3pm on a Weds) and potentially an earlier morning option of 8.30/8.45am. This option is not available on a Tuesday and Thursday afternoon due to bowls club.
No report. (Youth Club are taking a summer break until September).
No report.
All good – no issues. Fran reported a few covid cases and requested Hand Sanitizer for the lobby. Helen to arrange.
No issues.
Tuesday 5th September 2023, 6.30pm Village Hall Lounge.
