COMMITTEE MEETING

Present:    Dr Mike Goldsmith (Chair), Geoff Simmons (Treasurer), Debra Styles (Secretary), Greg Carter, Maureen Green, Kathy Betts, Sarah Layram and Jess Lusher.

Apologies: Fran Woods, Rep from Bowls club.

  1. Welcome and Apologies

Mike welcomed everyone to the meeting.  Apologies were given as above.

  1. Minutes of the Previous Meeting

The minutes from the meeting which took place on 10 January 2023 were agreed and signed.

  1. Matters Arising/Resignation

The sanitary bins have been delivered.  Sarah placed them in the toilets.  Debra to find out when they will be emptied as the Oasis is not always open.  Lamps have been replaced in the spotlights in the main hall and in the lounge in the Village Hall.

The Committee has received Sarah’s letter of resignation.  Her last day as caretaker/cleaner will be Monday 27 February and Geoff will liaise with her as to her last pay roll and any holiday accrued.  It was agreed Debra will draw up advertisements to place around the village and on social media for the role of caretaker and bookings clerk and a separate cleaner, although when interviews take place, the option of both roles could be taken on by one person.    Greg and Mike will interview candidates along with Debra.   Mike thanked Sarah for all her hard work over the last 10 years and dealing with all the issues that have arisen.  The Events Committee held a successful cinema evening.  Some issues were raised.  Lights on in the Oasis – notices on internal doors of both sites to remind users to turn off lights and turn down heating.  Oasis toilets smell – disabled toilet issue with internal vent.  Exit lights – Geoff will look at these.  Exit door in main hall – soft close mechanism has wool holding it together, the mechanism needs repairing.  Speakers – not working.  Foyer lights – note on light switch to note night light/security lights remains on in the foyer of the Village Hall.  Chair stacking in lounge – photo has been updated.  Lamps to spotlights and lounge – these have been replaced.

  1. New Community Centre and Preschool

Awaiting agreement from the Duchy about the rotation of the building on the site. If this is agreed, the proposal will go to the community.   Otherwise, the building will need to be rotated with a change in the plans.

  1. Treasurer’s Report

Geoff will circulate figures and confirmed monies are coming in.  Maureen is not a trustee so it her family member will be able to audit the accounts.  Geoff will check the North Northants wheelie bin invoice as he has received 2 different figures for payment.   The Events Committee have offered £100 to cover the cost of the hire of the venue for the Christmas Fair, WVHMC agreed.

  1. Caretaker’s Report

Sarah bumped her head in the storage cupboard and has recorded this in the accident book.  2 more bookings have been taken for regular classes.

  1. Busy Bees Report

Numbers are stable.   Messy play sessions for younger groups have started where parents stay with their child.  The door between the main hall and lounge needs to be secured for this session.  It was confirmed the preschool will look at the handle and locking mechanism on this door by either cleaning out the lock or replacing the mechanism and put the key in the key safe.  Another child will be starting at the preschool.  Looking at reducing the intake age to 2 years old, insurance to be looked at.  There is a mouse in the outside shed.

  1. Youth Club Report

Youth Club has lost one of its volunteers, more are required.  Debra and Katie will take a session in the meantime.  Numbers are stable but slightly down.

  1. Over 60’s Bowls

All good.

  1. Studio 52 Dance Academy

Fran sent a report saying all is going well and the academy is busy getting ready for their parents’ days in March.  The boards in the main hall will need to be taken own on the 18/19 March and 26 March.  This is the first time parents will be invited since 2019 due to Covid.  Flowers and pictures will be placed in the hall with a senior girl playing the piano.  The little 4 year olds have been invited to perform at Wollaston’s Summer Festival.

  1. Other Users

Barbells and Boobies have requested to book the venue.  Sarah has had a chance to look at the bookings diary and there is an hour available on Friday evenings.  Greg will draft a response and reply to the request advising the noise inhibitor must be used to prevent music being too loud.

  1. Date of Next Meeting

Tuesday 07 March 2023, 6.30pm Village Hall Lounge.
