WOLLASTON VILLAGE HALL MANAGEMENT
COMMITTEE MEETING
6.30pm, Tuesday 3rd December 2024
Oasis Lounge, Wollaston
Present: Cllr Dr Mike Goldsmith (Chair), Cllr Greg Carter, Fran Woods, Maureen Green, Penny Watts (Busy Bees), Anna Fermi (Busy Bees), Mary Burbidge (Treasurer) and Suzanne Grant (Clerk).
Apologies: Jaza Babar, Kathryn Betts.
Mike welcomed everyone to the meeting. Apologies were given as above.
The minutes from the meeting which took place on 12th November 2024 were agreed and signed.
None from the previous meeting.
Awaiting the S106 NNC meeting to present the Early Learning Survey results and the revised Budget plan for Busy Bees to obtain the S106 £348,000 towards the Village Hall redevelopment and to provide Busy Bees with the venue for full-time childcare which is pivotal to the Village Hall redevelopment. A public consultation will need to take place in the Village, potentially in January and planning permission will then be applied for by March. Users to continue to investigate temporary venues whilst the Village Hall is being redeveloped – this could be for six months plus, and it was recognised that this is proving difficult without any firm timings. Maureen Green (Baptist Church) to take Busy Bees request for use of their venue 4 days a week (Monday, Wednesday and Friday 8.30am—2.30pm and Tuesday 8.30am -12.30) to the Baptist meeting next week and liaise with Anna Fermi. Mike confirmed that Busy Bees would not pay any rent for the foreseeable future to help with their financial situation and confirmed that Busy Bees would be loaned up to £10,000 over the next year from the Village Hall Bank account, with definitive repayment dates plus interest together with the outstanding rent. A contract to be drawn up and signed. Donation letters have gone out from Busy Bees to business in the village requesting financial support.
No financial report available. The Treasurer handover has been delayed due to Geoff’s absence for personal circumstances. However, a generic Village Hall Gmail account for all utilities and accounts and access to the bank account has been set up and now awaiting Geoff to novate all accounts to this new email address. Bank access has been activated for Mike and users can now be added. Clerk to arrange HMRC Basic Tools payroll app for the Caretaker – Greg has the details for this.
Steady Bookings continue into the New Year, mainly family parties. The three new users have reported that their classes are going well.
Maintenance: The Oasis door lock has been replaced with no issues. Broken toilet seats now replaced, however due to an incident with the maintenance man and Busy Bees, it was agreed that all maintenance, where possible (unless it is an emergency), to take place outside of Busy Bee hours and to potentially look for an alternative contractor if possible whilst the investigation is ongoing with Ofsted. It was noted that all contractors should be DBS checked.
The Oasis heating is not working too well even after bleeding the radiators. The boilers are due to have a service in January, but it was agreed that if this needs to be fixed before January, then Jaz can arrange this.
The remaining 20 scrap chairs in the outside shed are to be picked up by NNC. Greg to send Jaza bank details for this to be organized. Jaza has some money from bookings that will be brought to the next meeting in January.
Busy Bees are currently operating at a loss due to being unable to offer longer hours/days. Anna Fermi thanked the Chair for the loan of £10,000 over 1 year, together with the absence of payable rent and advised that they had also applied for a Grant. The Christmas Fayre was a big success and a Wreath making evening is to be held on December 5th to help raise money for Busy Bees. Busy Bees will close for Christmas break on Friday 20th December and re-open on Tuesday 7th January.
No issues. Studio 52 will close for Christmas break on Thursday 5th December and re-open on 11th January 2025.
