WOLLASTON VILLAGE HALL MANAGEMENT

COMMITTEE MEETING

6.30pm, Tuesday 5th December 2023

Village Hall, Wollaston

Present:     Cllr Dr Mike Goldsmith (Chair), Cllr. Greg Carter, Geoff Simmons (Treasurer), Kathryn Betts, Fran Woods, and Suzanne Grant (Clerk).

Apologies: Helen Warden, Penny Watts, Maureen Green.

  1. Welcome and Apologies

Mike welcomed everyone to the meeting.  Apologies were given as above.

  1. Minutes of the Previous Meeting

The minutes from the meeting which took place on 14th November 2023 were agreed and signed.

  1. Matters Arising

The clerk confirmed that the work for 4” Diameter Hole in the ladies’ toilet panel would be carried out on 20th December & that the photograph of the blank meter had been sent to Geoff on 15th November.

  1. New Community Centre and Preschool

Mike confirmed that both Irchester Road sites have been confirmed as unsuitable for the New Community Centre by the HSE.  Therefore, the proposal is to redevelop and expand the existing Village Hall.  This would be a major development with an estimated completion date of a year.  Next steps are to meet the Architect on Tuesday 12th December @ 2.30pm to look at the design options and prepare plans.  Temporary accommodation would be needed for the group users and potential rooms include the Methodist and Baptist Church.  Ample notice will be given.  Further updates to follow.

  1. Treasurer’s Report

Treasurer’s Report to follow. (£32,722 current bank balance)

The treasurer requested that the Clerk chase Busy Bees for their payment.

New Bank Account set up is ongoing – 3 signatures will be required (Greg Carter, Mike

Goldsmith and Geoff Simmons).

Treasurer confirmed that an Audit (Independent Examiner) will not be required for the accounts

as the Commission Rule excludes Charities under £25k turnover.

Excellent news that Geoff has secured a refund from E-on for approximately £1,800 due to the

ongoing meter reading issues.

  1. Caretaker’s Report

Report sent in from Helen – Mark Essam (Electrician) is coming on Friday 8th Dec to fix the lights

including emergency lighting, main hall, ladies’ toilet and outside lights.  Plenty of enquiries and

bookings coming in for December through to March next year.

Please can all feedback on the Cleaner go through to Helen asap now that new equipment and

hooks have been provided (further concerns have been received from Busy Bees).

Greg to speak to Helen regarding request for Christmas holiday/cover arrangements.

Greg advised of an incident reported on Sunday 26th November following a birthday party the

previous day – rubbish, broken toilet seats etc.  Deposit was withheld and thanks to Helen &

Hayley who handled this situation exceptionally well.  Hayley was reimbursed.

  1. Busy Bees Report

Busy Bees is still low on numbers with 9 on the busiest day.  Two new starters for January and potentially two to start in March.  No news on the potential inheritance donation, but hopefully in the pipeline for 2024.  Stall at the recent Christmas Fayre was successful and it is the Busy Bees Christmas Fayre this Sunday 10th December.  Any funds raised will go towards improving the music area.  Richard Morten is unable to carry out the PAT testing due to the equipment needing calibrating.  Clerk to ask Helen to instruct Mark Essam to carry out the PAT testing.

  1. Youth Club Report

No report.  Request for Clerk to chase for a report from the Youth Club.

  1. Studio 52 Dance Academy

No issues, focusing on the Show for next July.  Studio 52 will be closing for Christmas break on Saturday 9th December.

  1. Other Users

No report
