WOLLASTON VILLAGE HALL MANAGEMENT

COMMITTEE MEETING

6.30pm, Tuesday 2nd April 2024

Village Hall, Wollaston

Present:     Cllr Dr Mike Goldsmith (Chair- arrived 7pm), Geoff Simmons (Treasurer), Cllr Greg Carter, Maureen Green, Penny Morten, Kathyrn Betts and Suzanne Grant (Clerk).

Apologies:  Jaza Babar, Fran Woods

  1. Welcome and Apologies

Greg welcomed everyone to the meeting.  Apologies were given as above.

  1. Minutes of the Previous Meeting

The minutes from the meeting which took place on 6th February 2024 were agreed and signed.

  1. Matters Arising

None from the previous meeting.

  1. New Community Centre and Preschool

Revised plans have been circulated.  Busy Bees had raised their concerns with the staircase/fire exits and these have been moved to work for Busy Bees and Ofsted requirements.  A visit to the preschool garden confirmed that it was unfavourable to lose the mud play area and therefore the plans need to be slightly revised to move the fire exit and lose a smaller part of the upper garden instead.  This will be discussed at the S106 meeting due to be held tomorrow. Highways are currently carrying out their Transport statement and it is hoped that Doc Marten’s come back to the Parish Council with a favourable agreement for use of their car park & the potential £50K donation.  It is hoped that the pre app will be completed by the end of April and planning permission granted by September. Separate project plans will be needed for arranging alternative accommodation for current users and funding requirements as the projected cost of the project is £1.2m which will essentially require the Parish Council taking out a loan for 20 years for the shortfall.

  1. Treasurer’s Report

The Clerk passed cheque payments from Bowls Club for April & May to the Treasurer.

Purchase Order for the recent Election passed to Treasurer in order that an invoice for £630 can be raised.  Treasurer to chase rent for Youth Club and Scouts.  Approx. surplus of £1800 YTD (this includes the Parish Council £5k Grant).

E-on dispute ongoing due to inaccurate estimations – will re-visit in 6 months to obtain feel of correct usage.

New Bank Account change from HSBC to Lloyds has been refused due to the new rules whereby Lloyds are not opening new bank accounts for Charitable Trusts.  Geoff to continue to pursue.

Geoff to send Clerk bullet points of the Treasurer role in order that an advertisement can be published for the voluntary role available from September 2024.

  1. Caretaker’s Report

Jaza sent her apologies and the following report:

There have been a couple of parties booked in from April onwards as well as a few other events, we have a Heritage movie showing booked in for April and I’ve been communicating with a company that specialises in buying jewellery. They have had many events in neighbouring villages and appear to be quite popular so I think that will be interesting.

I’ve also been in contact with someone from South Northamptonshire Council who was looking to hold a social for MP Dame Andrea Leadsom. One of the contacts from the council came to view the hall on Saturday, so just waiting to hear back from her regarding if the hall is suitable for the event.

I also had a message from the lady who runs the slimming World asking for a regular slot on the Thursday, but I advised her we have no availability on Thursdays for a regular booking. I advised her we had the Friday free, but it would have to go through the committee first and there has been no response as of yet.

For Geoff: I am still waiting for the correct bank details from Ebba Fletcher, as soon as she replies I will email them to Geoff so he can send back her deposit.   Geoff and Jaza to set up a deposit system asap.

Update regarding Hayley (cleaner)

I met up with Hayley and Greg just after I started, and we had a good conversation regarding expectations from both myself and Hayley going forward. We discussed Hayley being more proactive with keeping track of supplies. I have been having weekly check ins with Hayley regarding how the cleaning is going and the status of the supply stock. The communication so far has been absolutely fine and we also agreed that I would let Hayley know when there is a party, and she has agreed to go in and do a clean after any parties or events. I also communicated with Penny (Busy Bees) regarding the cleaning and there haven’t been any concerns as of yet. (Please let me know otherwise)

Questions and concerns

I would like to ask if there is any update on the bank card situation. It’s been a bit of a struggle to organise getting supplies as I have no access to a flat so a card would be a lot easier. – Greg to speak to Jaza.

There are a few brown toilet seats and lights out in the bathrooms which need fixing, and I just wanted to know what the best way would be to go about fixing them.  Greg to speak to Jaza to confirm that Mark Essam can be booked for the lighting.

I am also aware that there is a Polling Day coming up so just wanted to let you know I spoke to Helen about this, and she has let me know how the process works.

  1. Busy Bees Report

There have been 3 new starters since Easter which brings the total number of children to 12. Recent open day was very successful which could bring in a potential 6/7 new children. Car Treasure Hunt organized for the end of April.
