MINUTES OF THE MEETING HELD ON

Wednesday 12th June 2024, 7pm

At The Playing Fields Clubhouse, London Road, Wollaston

ELECTION OF CHAIR AND VICE CHAIR

Mr Silsby proposed Mr Savage continue as Chair, seconded by Mr Green, unanimously agreed.  Mr Silsby proposed Mrs Milroy as Vice Chair, seconded by Mr Green, unanimously agreed.

REVIEW PROCEDURES – STANDING ORDERS & RISK ASSESSMENT
The Standing Orders and Risk Assessment were reviewed and agreed.  No amendments.

 

MINUTES

The minutes of the last meeting from 8th May were agreed unanimously and signed as a correct record.

 

FINANCES

Finances to end of May 2024 had been circulated.  Bollard had been repaired with a generous 50% donation from Nick Shelton.  Annual insurance renewed at best price available but has increased by 13.4%.  Clerk to circulate invoices to Cricket Club and Sports Association and the % contribution has been decreased to help the clubs.  Tractor Fuel from Barton Petroleum currently at £1.65 per litre which is higher than petrol stations, possibly because not a bulk buy – Mr Silsby to make enquiries and report back at next meeting.  Mr Silsby to look into obtaining a Community Amateur Sports Club number from HMRC for red diesel to receive a lower price of red diesel.

 

PLAY EQUIPMENT AND ADULT GYM INSPECTION/MAINTENANCE

The annual inspection of St Mary’s Road Play area and London Road Play area were carried out this month.  There was a slightly higher number of recommendations this year, including the shrinkage of the wet pour in both parks.  Clerk to obtain a quote.  High risk found at London Road swings (gap in crossbar fittings) this has been checked by Mr Savage and is solid.  Poor fencing highlighted at the MUGA area, but hopefully upgrading in near future.  Mr Savage confirmed that he had inspected the equipment had attended to some of the minor issues and had erected new basketball nets, inspections sheets were passed to the Clerk.

 

POCKET PARK

No issues.  The park is looking tidy thanks to Mr Bill Thompson.  Water Butt has been gifted.

 

SPORTS ASSOCIATION REPORT

Cricket – good numbers for youth cricket, 1st team are struggling due to young team, 2nd & 3rd team are doing well.

Outfield and pitches are in need of a weed and feed asap.  Quote obtained from Premier Lawns for £900.  Agreed by the Committee – invoice to be sent to the Clerk.  Following the weed and seed, the Sports Association will carry out aerating/slitting.  Work to be carried out before the Summer Festival on June 30th.

Annual Primary School sports tournaments to be held at the Playing Fields on 13th June, 20th June and 10th July.

Year 11 Leavers congregated at the field on Friday 7th June for their leaving do and are to be commended for their good behaviour and clearing up.

Ball/Knife incident – PCSO Fenner has been advised and culprits are being monitored.

E-Scooters – Mrs Milroy to speak to PCSO Fenner and Clerk to make a notice to advise No E-Scooters on the public Playing Field in line with the Road Traffic Act 1988.

MUGA Update – Mr Perry advised that a quote had been received from Wicksteed for £110,258.  Awaiting a further quote from The Playground Company, no response from HAGS, Clerk to chase.

Sports Pavilion Upgrade – Mr Perry has obtained some old drawings, next step is to obtain provisional quotations and look into potential of any available cricket grants.  Funding for MUGA/Pavilion upgrade – £20,117 historical S106 monies & £136,608 Hookhams Path S106 agreement (plus index linking).  Clerk to establish updated occupation figures for Hookhams Path development.

 

PURCHASES REQUIRED

Tractor fan belt repair – awaiting invoice.  Trees – Hawthorn and Ash storm damage work £1,455 in July/August.  Tree survey in 2025.  Clerk to chase Mr Hodson for owl box information.

 

FIELD MAINTENANCE/MATTERS RELATING TO THE FIELD

Clerk received an email from a resident wishing to use the cricket nets in the evenings and weekends, but not a member of Wollaston Cricket Club.  Due to liability/insurance this is not possible unless a member, the nets are not a community asset.

Request from a resident requesting an enclosed dog walking field within Wollaston.  There are no options available as all land privately owned.  Clerk to respond.

Rabbits – presently quiet, to be re-visited in the autumn.  Permission sought from Cllr Dr Goldsmith.

Summer Festival 30th June, all in hand.  Two extra bins to be made available.

Secure area to be tidied up and heavy-duty weeder applied.  Wooden open shed to be emptied and potentially sold.
